Our firm is looking for a polished, well-spoken and detail-oriented Office Administrator/Manager to handle the day-to-day needs of answering phones, office management, shipping and administrative support while providing a superb level of customer service. The ideal candidate will possess solid business acumen, be detailed oriented, and have excellent prioritization skills. This person must clearly demonstrate initiative, enjoy working with process, be an effective multitasker with the ability to generate ideas, ‘thinking outside the box’ from time to time.  

Core Responsibilities:

  • Ability to work out of our Bellevue, WA office full-time.
  • Act as the face of the company by greeting and interacting with prospective and existing high net worth clients.
  • Prepare relevant documents and presentations for current and prospective client meetings.
  • Facilitate and prioritize day-to-day activities for the office.
  • Work closely with the entire team to handle on-demand tasks based on time-sensitive deadlines.
  • Take accurate and comprehensive notes as needed during company all hands and other high stakes meetings.
  • Arrange meetings and coordinate conference room logistics for internal team, external clients/prospects, and affiliates.
  • Handle daily administrative tasks including but not limited to answering and screening phone calls, maintaining company files, office ordering and inventory management, oversight of mail/shipping, etc.
  • Run errands for CEO and other partners as needed. Including but not limited to picking up and delivering gifts, taking cars to get detailed, dropping items off at home of CEO, etc.
  • Schedule personal appointments for CEO as needed.
  • Submit expense reports for various members of the team.
  • Handle ad hoc projects and assignments as needed.

Qualifications:

  • Ability to reliably work in-office full-time. (Required)
  • A driver’s license with reliable personable transportation. (Required)
  • Ability to operate independently with a strong sense of self-ownership as well as in a team-orientated environment.
  • An outgoing and confident personality is a must.
  • Ability to be adaptive and flexible.
  • Excellent verbal, listening and written communication skills.
  • Innate ability to work autonomously.
  • MS Office Suite experience.
  • Highly organized and process oriented.
  • Ability to effectively multitask shifting priorities in a periodically deadline-driven and high-pressure environment.
  • Financial industry knowledge is a plus.
  • Bachelor’s degree preferred.
  • Minimum of 1+ years’ experience in a related position required. 3+ years' experience preferred.

Compensation:

This position is eligible to receive an annual base salary between $55,000-$70,000 with possibility of a bonus. Compensation is determined on experience.
