Position Overview

As our On-site Office Manager, you will play a vital role in managing office operations and supporting HR functions, ensuring a smooth, organized, and engaging workplace. You’ll oversee day-to-day office management, assist with HR processes, and help cultivate a thriving team environment. This role is 100% on-site in San Diego, CA.

Requirements

Office Operations & Administration:

  • Oversee daily on-site office operations to maintain an organized and efficient workplace.
  • Oversee employee workspaces, coordinate new hire workstation setups, facilitate orientations, and manage facility needs to ensure a well-equipped and functional workplace.
  • Support Human Resources by managing requests and inquiries from leadership and team members, ensuring timely assistance and resource coordination.
  • Implement and maintain Company Handbook policies and procedures to foster a respectful work environment conducive to the team’s overall success.

 HR Support & Employee Engagement:

  • Assist with recruitment coordination, including scheduling interviews and candidate communication.
  • Manage the onboarding process, ensuring new hires have a positive and seamless welcoming.
  • Maintain employee records, compliance documentation, and training materials.
  • Support payroll processing by tracking timekeeping, PTO, and attendance records.
  • Work with the HR Manager to address HR-related inquiries, ensuring employees are directed to the appropriate resources.
  • Assist in reinforcing workplace policies, compliance, and office safety procedures.
  • Organize on-site employee engagement initiatives, company events, and recognition programs.
  • Ability to foster and support the betterment and development of an on-site team.

What We’re Looking For

  • Must be able to work on-site (San Diego, CA 92111).
    • Please note: This is not a hybrid or remote position.
  • Proven experience as an Office Manager, HR Coordinator, or Administrative Manager.
  • Strong organizational and multitasking skills with the ability to prioritize effectively.
  • Excellent communication and interpersonal skills for working with employees at all levels.
  • Proficiency in Microsoft Office and office management software.
  • Experience handling HR-related tasks such as onboarding, payroll support, or compliance tracking is a plus.
  • Ability to work independently and take initiative in a fast-paced, team-focused environment.
